When to Select and Order Lighting for a Custom Home: A Practical Construction Timeline

The call often comes when electrical rough-in is only a few weeks away.

Sometimes it is a few days away. Occasionally, the electrician needs the recessed housings tomorrow.

By that point, the foundation may be poured, walls may be framed, ceilings may be taking shape, and several trades may already be working from plans that treat the lighting as final. The homeowner, contractor, or electrician now needs fixtures quickly, but important decisions about the lighting effect, ceiling conditions, drivers, controls, and product availability may not have been made.

This is when choices become limited and expensive.

The solution is not to order every light as soon as a project begins. Fixtures ordered too early can sit for months, incur storage fees, become damaged, or no longer match a revised design. The better approach is to select the lighting early, then order and release each part according to its lead time and the point in construction when it is actually needed.

The short answer

For a custom home or major renovation:

  1. Develop the lighting plan while the architectural and interior plans can still change.

  2. Finalize recessed housings, built-in lighting, drivers, controls, wiring, and mounting requirements before concrete, framing, and electrical rough-in.

  3. Select decorative fixtures early enough to confirm their locations, scale, support, and electrical requirements, even when delivery can wait.

  4. Approve the fixture schedule, pricing, and any value-engineered alternatives before placing orders.

  5. Order long-lead and construction-critical products first.

  6. Release deliveries in phases so products arrive before installation without sitting unprotected for months.

  7. Test, aim, and program the completed system before the project is treated as finished.

The central rule is simple:

Select early. Order according to lead time. Deliver according to the construction schedule.

Selecting, ordering, and delivering are three different decisions

These terms are often treated as though they mean the same thing. They do not.

Selecting means deciding exactly what the project requires. That includes the manufacturer and fixture family, but also the function, output, beam, aperture, finish, color temperature, dimming behavior, driver, voltage, ratings, mounting method, and controls compatibility.

Ordering means approving the quote, collecting the required payment, submitting the purchase order, and receiving the factory's acknowledgement. This is when the exact configuration, price, estimated lead time, and order conditions should be confirmed.

Delivering means releasing completed products from the factory, distributor, or warehouse so they arrive at the correct location before installation.

A fixture can be selected long before it is ordered. An order can sometimes be placed to lock pricing while production or delivery is held until later. Those arrangements depend on the manufacturer or vendor and should always be confirmed in writing.

Keeping these three decisions separate gives the project team more control over design, cash flow, product availability, and storage.

Phase 1: Begin lighting planning while the design can still change

The best time to begin is when the architectural layout, ceiling design, furniture plan, cabinetry, materials, and controls can still be coordinated.

Start by identifying:

  • Who makes the final aesthetic and budget decisions

  • How each room will be used and furnished

  • What should be illuminated, including walls, art, millwork, counters, tables, and people

  • Which lighting effects and decorative fixtures define the design

  • The expected ceiling types, heights, soffits, beams, and structural conditions

  • The desired color temperature, warm dimming, tunable white, or color-changing capabilities

  • How the homeowner expects the lighting to switch, dim, group, and respond to scenes

  • The working lighting budget

  • The construction milestones and required on-site dates

Floor plans alone are not enough. Reflected ceiling plans, sections, elevations, furniture plans, millwork drawings, finish information, and controls documents can all affect where fixtures go and what equipment will fit.

At this stage, the team does not need to order every decorative light. It does need enough information to establish the lighting intent, layout, technical direction, and budget before other work makes those decisions difficult to change.

Phase 2: Lock construction-critical lighting before concrete and rough-in

Concrete pours, framing, and electrical rough-in create hard deadlines.

Before those activities begin, the team should finalize every lighting component that affects what is placed inside concrete, walls, ceilings, coves, cabinetry, or millwork.

This commonly includes:

  • Recessed housings, rough-in frames, and concrete-pour housings

  • Trimless frames and ceiling-finishing requirements

  • Recessed step lights and other built-in fixtures

  • Linear-lighting channels, extrusions, and cove details

  • Under-cabinet and millwork lighting provisions

  • Junction-box locations and mounting heights

  • Structural support or blocking for heavy decorative fixtures

  • Remote drivers, transformers, and accessible equipment locations

  • Exterior sleeves, underground conduit, junction boxes, and transformer or equipment locations

  • Fixture voltage and circuiting

  • Dimming method and required control wiring

  • Control panels, interfaces, keypads, sensors, and other system components

The complete fixture matters, not merely the visible trim.

A deeper driver or housing may not fit above a shallow ceiling. A warm-dim, tunable-white, DALI, 0–10V, phase-control, or manufacturer-specific configuration may require different equipment, wiring, or controls. A change that appears small on a fixture schedule can affect the electrician, controls contractor, framing, ceiling work, and inspection.

This is why the electrician, lighting provider, designer, controls or audiovisual contractor, builder, and homeowner need to agree on the system before rough-in. The selected controls and drivers should be confirmed as compatible, and any specialized wiring should be documented before the walls and ceilings close.

Phase 3: Complete the fixture schedule, quote, and approvals

Once the layout and technical requirements are clear, create or complete the fixture schedule.

For each fixture type, the schedule should identify the full catalog number or configuration, quantity, finish, color temperature, output, optic or beam, driver, dimming method, mounting condition, voltage, ratings, and any required accessories.

The schedule becomes the basis for:

  • Pricing the specified package

  • Checking current product availability and lead times

  • Identifying missing components

  • Coordinating fixtures with controls and construction

  • Comparing alternates when the package is over budget

  • Preparing submittals for approval

  • Placing accurate purchase orders

The quote should be reviewed by the actual decision makers before an order is placed. If the package is over budget, value engineering should happen now, while changes can still be coordinated responsibly.

Phase 4: Order by the required-on-site date, not the move-in date

Do not give every fixture one general deadline.

Create a required-on-site date for each category based on when the electrician or installer needs it:

  1. Concrete and rough-in components: Usually first priority because construction cannot safely proceed without the correct openings, housings, frames, wiring, or mounting information.

  2. Cove, millwork, and built-in lighting: Coordinate with framing, drywall, cabinetry, stone, and millwork fabrication.

  3. Long-lead or custom decorative fixtures: Order early enough for production, finish approval, shipping, and installation, even if the junction box can be completed sooner.

  4. Finish components and decorative fixtures: Schedule closer to installation when practical, after locations and specifications are confirmed.

  5. Landscape fixtures and final accessories: The visible fixtures may be ordered later, but sleeves, conduit, junction boxes, transformer locations, and exterior power must be coordinated with concrete, hardscape, planting, and irrigation work.

  6. Replacement parts and spares: Confirm before closeout when a project requires matching lamps, LED modules, drivers, lenses, trims, or other service parts.

Then work backward from each required-on-site date.

Allow time for final approval, payment processing, purchase-order preparation, factory order entry, submittal review when required, production or assembly, transit, receiving, inspection, and final delivery to the job.

Even products described as in stock may consist of components that must be configured or assembled into the approved fixture. An estimated factory lead time may also begin only after the order is accepted, not when the first quote is requested.

Lead times vary by manufacturer, configuration, finish, quantity, and current workload. Treat them as a current estimate, not a permanent fact. Confirm them again when the order is ready to be placed, and build in a reasonable project-specific buffer.

Phase 5: Select decorative fixtures early, but deliver them carefully

Decorative fixtures can often arrive later than recessed housings and other rough-in components. This does not always mean they can be selected later.

The exact chandelier, pendant, or sconce can affect:

  • Junction-box position and mounting height

  • Fixture diameter, height, projection, and overall scale

  • Canopy or backplate dimensions

  • Weight, support, and blocking

  • Voltage, dimming, and control requirements

  • Pendant length or suspension method

  • Clearances from doors, cabinetry, mirrors, tables, and circulation paths

If those conditions are already known and the fixture uses a conventional junction box, the final product may be delivered closer to installation. A temporary code-compliant fixture may sometimes be used while a decorative fixture is in production, subject to the contractor and inspection requirements.

The important distinction is that later delivery should not create an unresolved rough-in condition.

Phase 6: Avoid ordering everything too early

Ordering late creates obvious problems, but ordering far too early can create different ones.

Products stored for months may be exposed to:

  • Warehousing charges

  • Jobsite theft, dust, moisture, or accidental damage

  • Lost cartons, accessories, or installation instructions

  • Design revisions after a non-cancelable order has been placed

  • Warranty time passing before the fixtures are installed

  • Confusion about which release belongs to which room or phase

There can also be a cost to waiting. Manufacturer price lists, freight, material costs, and tariffs can change during a long project.

On some projects, a vendor may allow the buyer to place a deposit, lock the current price, reserve components, or schedule a later production or release date. Other vendors require immediate production or will charge for extended storage. None of these arrangements should be assumed.

The safest approach is to ask before ordering:

  • When does the quoted lead time begin?

  • Is the order cancelable or returnable?

  • Can production or shipment be held?

  • For how long, and is there a storage fee?

  • When does the warranty begin?

  • Can the order be released in phases?

  • Where will each shipment be received, inspected, and stored?

The answers should be reflected in the purchasing plan and order acknowledgement.

Two real examples of what happens when lighting starts too late

An eight-week product and a two-to-three-week deadline

We were contacted about a very high-end Miami Beach renovation only two or three weeks before the project was expected to be turned over.

The team needed new fixtures to match existing architectural lighting from a premium manufacturer. The usual lead time for the required product was approximately eight weeks, even when faster freight was considered.

We worked under intense time pressure with the project team and vendors, investigating available components and every responsible sourcing option we could find. Some of the lighting was completed, but the schedule left too few choices. Certain areas had to accept compromises because the ideal products could not be produced and delivered before turnover.

No amount of urgent coordination can create factory inventory or erase a manufacturing lead time. Had the matching requirement been identified earlier, the team would have had more time to preserve the lighting quality throughout the project.

The concrete-pour housings needed within one week

On another South Florida project, the contractor discovered shortly before a concrete pour that the selected recessed fixtures required concrete-pour housings.

The recommended housings needed about two weeks, but the pour was scheduled within one week. Waiting for the correct components did not fit the construction schedule.

To preserve openings in the slab, the contractor created temporary foam blockouts and later installed the housings and patched the surrounding areas after they arrived. This was an improvised project-specific response, not the recommended installation sequence. It required extra work and introduced coordination and finish risks that could have been avoided.

The better sequence was simple: identify the concrete condition, approve the fixture and housing, and have the required components coordinated before the pour.

Final installation is not the end of the lighting work

Once the fixtures arrive, the project still needs installation, testing, and closeout.

Before completion:

  • Inspect products for damage and configuration errors

  • Confirm that trims, optics, finishes, accessories, drivers, and controls match the approved schedule

  • Test every fixture and control zone

  • Verify dimming behavior and color-changing functions where applicable

  • Aim adjustable fixtures at the intended art, surfaces, and architectural features

  • Program scenes, keypads, time schedules, and integrations

  • Complete punch-list corrections

  • Label and turn over spare parts, instructions, warranties, and final schedules

The electrician normally handles fixture installation and testing. The controls or audiovisual contractor may program and commission the control system. A lighting designer or experienced lighting provider can assist with fixture verification, aiming, and confirming that the finished lighting supports the original intent.

These tasks need time in the construction schedule. They should not be compressed into the final hours before the homeowner moves in.

What to send for a lighting quote and procurement plan

Contact the lighting team as early as possible and send whatever is currently available:

  • Architectural plans

  • Reflected ceiling plans

  • Electrical plans

  • Lighting fixture schedules and cut sheets

  • Interior elevations, renderings, furniture plans, and millwork details

  • Controls information and the proposed controls contractor

  • Project address or location

  • Current construction stage

  • Concrete, rough-in, drywall, millwork, and turnover dates

  • Budget information

  • Names and roles of the decision makers and project contacts

  • Any existing fixtures, finishes, or lighting effects that must be matched

If the schedule is already tight, say so immediately. Current availability may need to guide the product selection.

Give the lighting schedule its own construction schedule

Custom-home construction rarely follows the original calendar exactly. That makes lighting procurement more important, not less.

Do not wait for one final order date. Select the system early, identify the parts with hard construction deadlines, confirm current lead times, and release products in coordinated phases.

This protects the design while reducing last-minute substitutions, rush freight, construction delays, storage problems, and avoidable repair work.
